Getting started
Creating your account
Click Sign In, choose Google or email, and you are in. Your profile picks up your name and photo automatically.
Your profile
Your profile shows your photo, role, the events you host, and the events you attend. Open it from your avatar in the top right. Update your photo from account settings; the site picks up the change the next time you view your profile.
Hosting events
Creating an event
Click Create Event, add a title, date, and location, then publish. Hosting on SHAER is free and takes about a minute. Guests do not need an account to receive an invite.
Editing or removing an event
Open your event and use Edit event from the hosting bar. The More menu holds unpublish and delete.
Capacity and waitlist
Set a capacity when you create or edit an event. Once it fills, new RSVPs join a waitlist instead of taking a spot, and they are told they are on the waitlist. If room opens, move someone in from the guest manager.
Co-hosts
Add co-hosts so more than one person can manage the event, send invites, and see the guest list. Co-hosts get the same hosting controls you do.
Registration questions
Add questions guests answer when they RSVP, like dietary needs or a company name. Answers show next to each guest in the guest manager.
Recurring events
Set an event to repeat and SHAER creates the series for you. Each date has its own guest list and page.
Checking guests in
On the day, open Manage from the hosting bar to check guests in. Each guest has a QR code, so you can scan at the door or tap to mark someone arrived.
Exporting your guest list
In the guest manager, use Export CSV to download everyone who responded, with their name, email, response, and status. Good for badges, seating, or your own records.
Invites and RSVPs
Inviting guests
Open your event and click Invite people. Invites go out by email with a personal link, and you can watch sent, opened, and responded counts from the same panel.
What the statuses mean
Hosting means it is your event. Going means you are confirmed. Requested means you asked to join and the host has not confirmed yet. Invited means an invite is waiting for your reply. Attended marks past events you joined.
Managing RSVPs
Hosts review requests from Manage RSVPs on the event page: approve, waitlist, or decline. Guests see their status update on their Events page.
Requiring approval
Turn on approval and RSVPs arrive as requests. They wait in the guest manager until you approve or decline, and the guest is told their request is pending.
Confirmation emails
When someone RSVPs yes to an open event, SHAER emails them a confirmation with the date, location, and a link back to the event. Nothing for you to set up.
Calendars
What calendars are
Calendars group events around a community or theme, like a city circle or an industry dinner series. Every event can belong to one.
Subscribing
Open any calendar and click Subscribe to follow its upcoming events from your Events page and Discover.
Submitting an event to a calendar
On a calendar page, use Submit Event. The calendar owner reviews it before it appears.
Messaging
Direct messages
Use the message icon in the top bar to reach hosts and members. Unread counts show on the icon.
Discovering events
Finding rooms worth being in
Discover lists calendars, categories, and cities. The world map shows everything with a location, and search in the top bar covers events, calendars, and people.
